Bills & Receipts
Send every receipt, bill and renewal notice to one address, and always know what's due, what's paid, what renews next and where your money went last month.
Receipts sit in one inbox, supplier bills in another, and the plans you pay for show up only on your card statement. So a bill gets paid late, a yearly renewal charges before you remember it, and month end means digging through email. Bills & Receipts keeps all of it in one place: send it what you pay, and it tells you what's due before it's due, and where the money went each month.
It replaces Receipt Tracker, Invoice Inbox and Subscription Tracker, which are no longer in the Store. If you have one installed, it keeps working and keeps getting fixes.
Set it up
Install it from the Store. It arrives with a sample design studio's spending, so you can see it working, and its Home tab walks you through Getting started:
Once your own records are in, Clear sample data on Home removes the sample payments, plans and vendors. Your settings stay.
Send it what you pay
Your bills address takes all three kinds of mail. Forward receipts and bills to it by hand or with a filter in your inbox, give it to suppliers as the address to send invoices to, and add it as a billing contact where your software plans let you.
Each email is sorted first:
- A receipt is filed as paid, with the vendor, what it was for, the amount, the date, a category and the receipt file itself.
- A bill is filed as Due, with its due date and invoice number. The same bill sent twice is filed once: matched on its invoice number, or on the same vendor, amount and due date when it has none.
- A renewal or charge notice brings that plan's price and next renewal date up to date, and files the charge when money was taken.
- Anything else goes to Set-aside mail, with the first lines so you can check the call.
When you forwarded it yourself, you get a one-line reply saying what was filed. A paper receipt or a bill on your phone works too: send a photo or a PDF in the Wapp's chat and Cheqq files it the same way.
Anything it can't read is left empty rather than guessed. An amount in another currency is kept in the payment's notes as printed, and Cheqq asks what it came to in yours.
Know what's due
Payments is one list of everything going out: Due, Overdue and Paid. Work through To pay, and mark each bill Paid once you've paid it. If you don't give a date, today is noted, so it counts in this month's spending.
Every morning at 8, Remind me what's due marks bills past their due date Overdue, and sends you one reminder, in Cheqq and at your email, about bills due and plans renewing in the days ahead. On a morning with nothing new, it says nothing.
The Money out dashboard shows what's to pay, what's overdue, what you've paid in the last 30 days, what your plans cost a month, and what renews soon.
Keep track of subscriptions
Subscriptions keeps one record per plan: what it charges, how often, when it renews next, and what that comes to a month. Renewing in 30 days shows what's coming, while canceling is still a choice rather than a refund request.
Marking a plan canceled here doesn't cancel it with the vendor. Cancel it with them first, then mark it here.
See where the money went
On the 1st of each month, Sum up last month's spending totals what you paid last month by category, measures it against your budgets if you set any, and names who you paid most. Budgets are optional, one monthly cap per category, and Cheqq never suggests a figure you didn't give it.
What it never does
- Pay, cancel or dispute anything. You pay your bills and cancel your plans; it keeps track and reminds you.
- Guess an amount, a date or a vendor.
- Let a stranger change your records. Anyone can send mail to your bills address, so mail can add a payment, but only mail that really came from your own email, or from the vendor's billing address on file, can change a record you already have. Otherwise it asks you to check.
- Reply to anyone but you.
Good to know
- The bill comes with it. A PDF or photo attached to the email is kept with the payment, so you can open the receipt from the record. Other kinds of file, and files over 10 MB, stay in your email.
- Amounts show in your currency. Tell Cheqq your currency in Getting started and every amount, total and budget shows its symbol.
